SFD Code of Practice: Expenses

 

Committee members, competition organisers, adjudicators and moderators carrying out duties on behalf of the SFD are entitled to claim reasonable expenses. Allowable expenses include mileage at the rate agreed by the committee for travel to and from:
• Shows for the purposes of adjudication or moderation
• Meetings in connection with competitions

Expenses will not be paid for mileage to and from awards ceremonies or the AGM, which all members are expected to attend at their own cost.

Incidental expenses will be paid for costs incurred in carrying out SFD duties including stationery and inks used wholly for SFD purposes but excluding any refreshments taken on SFD business. The treasurer and the chairman (or the vice chairman if the claim is made by the chairman or treasurer) shall be the final arbiters of allowable expenses.

The SFD will not pay for gifts for committee members, adjudicators, moderators or other SFD members. Small gifts may be given to non-committee volunteers who help with technical or other input, up to a limit of four times the hourly minimum wage. All such gifts must be approved in advance by two committee members, including one of: the treasurer, the chairman or the vice chairman.

In exceptional circumstances any two of the chairman, the vice chairman and the treasurer may agree to small gifts for committee members, adjudicators, moderators or other SFD members at the end an extended period of service.

All claims should be submitted at least two weeks prior to the end of the SFD financial year (which is 30th June) and again within four weeks of the end of the competition against which the claim is made. In some cases this will mean a minimum of two claims per annum; claims can be made more frequently if desired.
